DESCRIPTION
An immediate full-time position is open for an Administrative Assistant. This position is an in-person only position
out of our Crystal Bay office. Candidates must be experienced with managing emails, answering phones, data
entry, and office organization. This position works hand in hand with the office manager and principal
Architect/Engineer “Architect” to keep the team and office running smoothly.
RESPONSIBILITIES
• Management of the Architect’s email and calendar
• Transcribe Architect’s time from written time log
• QuickBooks:
o enter time for all employees and run payroll
o enter credit card charges
o create, send, and follow-up on invoices
o run reports
o receive payments
• Make deposits at bank and check post office box
• Print plans and materials as needed for Architect, engineer, contractors, etc.
• Scan, save, and send redline/plan mark-ups to draftsman and/or clients
• Set-up electronic and physical files, manage joblist, prepare consulting agreements
• Order and stock office supplies, filing, and office cleaning
MINIMUM QUALIFICATIONS
• 3 years of office/administrative experience including A/R & A/P
• Efficient computer skills (min. software requirements Microsoft Office Suite – including Powerpoint)
• Strong organizational skills
• Comfortable working in a small, diverse, and efficient group environment
• Strong written and verbal communication skills, ability to communicate effectively with clients

• QuickBooks Desktop Pro
• Adobe Acrobat Pro
